The existing telephone system at Blue Ribbon was due for replacement and could not be expanded to meet the changing needs of the dealership.

Restraints
Much of the cabling of the site did not meet standards and was resulting in a lack of reliability. Any changes needed to be achieved without disruption to business.
Solution
Full cabling of the premises including trunk cabling between the four buildings, replacement of the old Commander system with an NEC SV8100 Converged Voice Management system performing the role of separate systems for the different parts of the business.
Training was provided for staff with a full change-over to the new system over a weekend – no downtime for Blue Ribbon and everyone working on the new system Monday morning.
The new phone system needed to provide the facility for shared reception duties over a number of sites with transparency for the caller – a simple task for the SV8100.
Call recording for sales was a necessity and easily accomplished within the system that was tailored for Blue Ribbon. With upgrades to the data cabling at the same time, all cabling across the two sites was replaced with new structured cabling to permit ease of management and possible changes of requirements in the future.
A proper data room was included in the upgrade and the centralisation of communications and data was designed. The existing six servers were replaced with two new Windows Servers – Exchange for email management and a file server for data storage, archive and backup management.
In the six months since the installation and transition to the new communications and data systems, no outages have been experienced, the speed and reliability of all data systems has improved to the extent that they are now just accepted as always available and responsive – quite different from the past!
